DATA BACK UP- OFF-SITE STORAGE
As a precautionary measure against loss of data due to any reason, it is
necessary to maintain separate data on back up media. The detailed guidelines in
this respect have already been
circulated vide our circular No. 3/2006 dated 16.01.2006. We reiterate that
following guidelines be invariably observed while taking / storing of backup.
- Backup media should be kept
in fire proof cabinet under dual custody.

Backup for 6 days immediately proceeding the current date must
always
be available in the branch.

Month end backup should always be taken and backup media be properly
preserved.

An additional copy of day end backup is to be stored off site preferably
on daily but atleast on weekly basis. The earlier backup copy already kept off
site be taken out for reuse next
week.

The backup taken on external media should be checked at least once in
a week. This can be done through following procedure.
Step
1: Perform
day open functions
Step 2:
After Day open, post
two or three vouchers for test checking .
Step 3:
Now RESTORE the day end backup
of previous day from CD/TAPE or
disk through following menu option.
Main menu→ Utility→ Restore.
Step 4:
Login again: If the system opens at previous date, the backup taken by
the system is correct.
Step 5:
Now again perform
day end functions and system will again generate CHECKSUM value . This
number should be the same as
recorded in the checksum register.

Copy of backup taken on the hard disk of server be also pasted on the
client . This operation be daily performed
without fail.

Sign/photo backup be also taken on external media at least once in a
week.

Backup Register be maintained as advised by our circular No 3/2006
dated 16.01.2006.

If the Tape drive does not work, lodge complaint with HCL immediately and
follow up till the removal of complaint. However, if CD writer is not installed
, it must be immediately installed and backup be taken on CD.

All the staff members must know that taking of backup in computerized
environment is one of the most important job. The backup is a part of
contingency planning and in case of any major disaster, the operation can be
resum ed with the help of off site backup .

Bank has informed the branches about the new Bank code and Branch code.
These must be got changed in the computer with the existing code.
All The branch Incumbents are advised to observe meticulous
compliance
of aforesaid guidelines. In case any data loss is occurred due to the negligence
of the staff / non adherence of these guidelines, the STRICT ACTION will be
taken against the erring person / officials. This circular should be got noted
from all staff members.
